Seamless Vendor Management and Invoice Processing Solution

This project focuses on solving challenges for a company called Mercoa, which had trouble scaling to meet customer demands after gaining traction post-YCombinator. While they had a REST API integration for customers, they lacked the internal capacity to handle accounts payable processes and approval workflows. Nimi partnered with them to build the necessary interfaces.

The Challenge

Target Audience

Fresh out of YCombinator, the Mercoa team hit traction fast and they were able to meet the growing needs of their customers who integrated directly with their REST API. One particular Enterprise customer was very interested in Mercoa but they didn't have the capacity to build the frontend integration in-house. The Mercoa team didn't have the capacity either. To capture this revenue opportunity, Mercoa partnered with Nimi to build out the accounts payable interfaces and the associated approval workflows.

The Nimi Solution

Bill Intake and Processing

ntegration with Mercoa’s API allowed automatic processing of bills emailed to designated addresses or uploaded directly into the interface. The relevant fields were extracted and displayed in the web app for finance team review.

Approval Workflows

An intelligent approval workflow system was integrated, routing invoices through steps for review. Users could make comments on invoices that required manual approval.

Vendor and Contact Management

Web interfaces were developed to manage vendors and associated contacts, ensuring clear audit logs for all bill payments and transactions.

Tone & Style

Bold, empowering, and witty, while maintaining professionalism.

Use of quirky hand-drawn elements to give a personal, artisanal feel.

User Experience

Simple navigation that focuses on core actions: booking fittings and exploring collections.

Prioritize mobile optimization, ensuring an easy booking experience and smooth browsing for users on all devices.

Immersive Gameplay Experience

We designed an immersive user experience for four game types — Wolf, Nassau, Round Robin, and Skins. Our team integrated GHIN APIs to deliver real-time data on golf course layouts, handicaps, and game performance, allowing users to see their progress and location on the course.

Real-Time Scorecard System

Our redesigned scorecard feature eliminates the need for paper scorekeeping. With real-time updates, users can track their scores effortlessly. We ensured the UI was clean, with minimal distractions, allowing users to focus on the game and enjoy their experience with friends.

UI/UX Design Process for Mercoa

Research & Understanding the Problem

Understand Mercoa’s existing system and user needs, especially the pain points regarding bill processing and approvals.

User Personas & Journey Mapping

Map out user journeys, focusing on bill intake, approval workflows, and vendor management to capture the ideal user experience.

Information Architecture

Structure the navigation to include sections like "Bill Processing," "Approval Workflows," and "Vendor Management” plus Design a simple and intuitive dashboard for finance teams to quickly access bills and manage approvals

User Testing

Test the prototype with actual users (e.g., Mercoa’s finance team), gathering feedback on the user flow for processing bills and approvals.

UI Design

Design a clean, user-friendly interface using consistent branding. Use calming, professional colors to convey trust and efficiency.

Development Handoff

Prepare design documentation, including style guides and annotated screens, for the development team.
